… and why you need one!
What is an email signature and why do you need one?
An email signature, sometimes called a signature block, is a set of text or information that is set up to appear at the end of your email and will provide bulk information about you, your company and further contact information outside of your email address.
It is a perfect opportunity to brand your emails and tell an email recipient immediately at a glance who you are and what you do. Done nicely, it is a colourful and visual way of setting out this information. Gone are the long lists of information placed under your name. Now the opportunity to go colourful and creative is available thanks to apps and website.
What makes a good email signature?
A good email signature is clear and concise, pleasing to look at and full of colour that will attract the eye. It will share company information quickly and can even have a call to action (CTA) which can direct people to your website or social media.
You might be thinking, why should I have my email address, as well as other contact information within the signature, if I’m already emailing someone. Won’t they have it already? Well, yes, that’s true. However, think about anyone your email may be forwarded to, wouldn’t it be great if they could have all your information straight away too!
Our email signature
Here is my email signature. You can clearly see all the information laid out for the recipient in the photo banner. My name, job title and company details are clear and easy to see. If they’ve never met me and we are arranging a meeting, seeing my photo will help place me when we do meet up. Not everyone is happy to use a photo though so this can be a personal choice.
The photo banner was created using one of my favourite web apps, Canva. There are lots of templates to use and customise, or you can come up with your own design. I’ve hyper-linked the banner so that when the recipient clicks on it they will be directed to our website.
You can also see my email address, company name and phone number are hyper-linked, as shown by the blue text and underline. This is standard and I would recommend this in your email signature.
I have also added what I think is a nice touch. I have added hyper-linked social media icons for where our reviews are and others linked directly to our social media channels. This makes it easier for the recipient to access all of our information at a click of a button without having to do too much research.
